Bot Setup Stages

Understanding the lifecycle and setup stages of your bots helps you track progress and know what to expect during deployment.

Bot Lifecycle Stages

Every bot goes through several stages from creation to going live. Here's what each stage means:

1. Created

Status: Bot has been created but infrastructure is not yet set up.

What's happening:

  • Bot record created in the system
  • Awaiting infrastructure provisioning

What you can do:

  • Wait for our team to provision the bot
  • Review bot configuration

Duration: Usually 1-5 minutes


2. Provisioned

Status: Infrastructure is set up and ready for configuration.

What's happening:

  • Bot infrastructure is live
  • Ready to connect integrations
  • Ready to configure subflows

What you can do:

  • Configure bot settings (timezone, runtime)
  • Enable email subflows in the Configuration tab
  • Connect required integrations

Next step: Enable at least one email subflow to move forward


3. Configured

Status: Bot has enabled subflows and connected integrations.

What's happening:

  • Email subflows are enabled
  • Required integrations are connected
  • Bot is ready for testing

What you can do:

  • Review your configuration
  • Click "Mark Ready" when you're satisfied
  • Make any final adjustments

Next step: Click "Mark Ready" to submit for testing


4. Testing

Status: Our team is testing your bot configuration.

What's happening:

  • QA team is testing bot responses
  • Verifying integration connections
  • Ensuring everything works as expected

What you can do:

  • Wait for testing to complete
  • Monitor for any feedback from our team

Duration: Usually 1-2 business days


5. Approved

Status: Bot has passed testing and is ready to go live.

What's happening:

  • All tests passed
  • Bot automatically goes live
  • Starts processing emails and tasks

What you can do:

  • Monitor bot activity in Analytics
  • Review conversation logs
  • Adjust settings as needed

Note: Bots automatically go live after approval - no manual activation needed.


6. Active

Status: Bot is live and processing tasks.

What's happening:

  • Bot is actively monitoring for triggers
  • Processing emails and tasks
  • Updating your CRM
  • Sending responses

What you can do:

  • Monitor performance in Analytics
  • Review conversation logs
  • Adjust configuration as needed
  • Pause bot if needed

Common Questions

How long does setup take?

  • Provisioning: 1-5 minutes (automated)
  • Configuration: Depends on you (usually 10-30 minutes)
  • Testing: 1-2 business days
  • Total: Usually 1-2 business days from creation to live

Can I edit a bot after it's live?

Yes! You can adjust settings, enable/disable subflows, and update integrations at any time. Major changes may require re-testing.

What if testing fails?

Our team will provide feedback on what needs to be fixed. You can make adjustments and resubmit for testing.

Can I skip testing?

No - all bots must pass testing to ensure quality and prevent issues with your leads.

What happens if I pause a bot?

The bot stops processing new tasks but retains all configuration. You can resume it at any time.
